How to edit an order

Sometimes you may need to edit a Print Trail order. This page shows you how.

An order can be edited as long as none of its fulfilments have yet been fully processed or dispatched.

There are several types of edits you can make to an order:

Changing shipping methods

Shipping methods are chosen per fulfilment (not per order).

Editing the shipping method is only available if the fulfilment has not yet been processed or dispatched. Learn more.

Prior to processing and dispatch, each fulfilment will list all its available shipping methods.

To change a fulfilment’s shipping method (before it’s been sent for processing), go to the order’s detail page and select the required shipping method on each fulfilment.

👉 When a fulfilment’s shipping method is editable (e.g. the order is in draft mode), simply click your preferred shipping choice to instantly update it. No need to edit the order.

Minor edits (contact details and tax info)

Minor edits apply only to these fields on an order:

  1. Shipping contact’s phone number
  2. Shipping contact’s email address
  3. Customer tax and customs details (VAT, EORI , PID)

To make minor edits to an order:

  1. Go to the order detail page
  2. Either: a) click the Edit button, then choose Quick Edit, or b) click the pencil icon next to the Contact Details or Customs/tax details
  3. In the pop-up form, make your changes
  4. Click Save

Full edit

A full edit of an order takes the order back to a draft state, and removes any existing fulfilments. This allows you to update any aspect of the order, including order lines, quantities, and shipping address. But it’s only possible before fulfilments have been sent for processing.

Full order editing is accessed via:

  1. On the order detail page, click ‘Actions’ (top right).
  2. Click Edit (if this isn’t showing, the order can no longer be edited).
  3. In the pop-up that appears, click Quick Edit.
  4. This will take the order back to a draft state and you will be able to edit all parts of the order.
  5. When you’ve made the changes you require, including shipping options, click Process or Save as draft.

Note that, when you choose a Full Edit, any documents uploaded to the order’s fulfilments will be lost, and new fulfilments will be built as you move through the edit steps.

Therefore, a full edit is not always the best course of action, so if you only want to add contact details or tax info, choose Quick Edit instead.

Full order editing is only allowed when none of its fulfilments have yet begun to be processed. If processing of fulfilments has begun, the option to edit the order’s address and order lines will not be available. You may still be able to edit contact details, tax info, add documents, and change shipping methods.

If you do need to make changes to an order’s products, quantities, or shipping address, and the full edit option is no longer available, you will need to attempt to cancel the order, then copy the order and make any required edits to the new order (remember to check whether any order lines in the original order are still being processed or have been dispatched).

Handling overseas deliveries

If a delivery needs to be sent to a company overseas, customs regulations require the company ID of the recipient company. To avoid having to contact customers for this company information – which is sometimes not readily accessible – you may alternatively request a residential address from the customer.

Editing the Order

Once you have the necessary information, you will need to edit the order. Follow the instructions below based on the type of edit required:

  • Adding a VAT or Company ID to a company address:

    1. At the order, go to Actions.
    2. Select Edit.
    3. Choose Quick Edit.
    4. Add the VAT/tax number or company ID.
    5. Save.
    6. To process the order for fulfilment, go to: Actions -> Process
  • Or, change to a residential Address:

    1. At the order, go to Actions.
    2. Select Edit.
    3. Choose Full Edit.
    4. Follow the steps provided (the address can be updated on the second step).
    5. Save.
    6. Process the order for fulfilment at: Actions -> Process

By following these guidelines, you can ensure that overseas deliveries are processed smoothly and in compliance with customs regulations.

Fixing an ‘On hold’ order

If your edited order is in draft or on hold, you can submit it for processing using Actions > Process.

👉 If an order or fulfilment is ‘on hold’, changes may not necessarily be required at the order or fulfilment. Instead, it could be that data is missing from a product or your team’s settings. If this occurs, instructions will appear at the top of the order details page. Make those changes before attempting to process the order.

Adding and editing documents

👉 Adding and editing documents can be done without clicking the order’s ‘Edit’ button. Each fulfilment has its own ‘Documents’ section
